1. Acceptance of Terms

By making a reservation with Gallo Vista B&B ("we", "us", "the property") — whether through this website, by telephone, via WhatsApp, or through a third-party booking platform — you ("the guest") confirm that you have read, understood, and agree to be bound by these Terms and Conditions in their entirety. If you do not agree to these terms, please do not proceed with a booking.

2. Booking & Confirmation

A reservation is considered provisional until a deposit has been received and a written confirmation has been issued by Gallo Vista. We reserve the right to decline any booking at our discretion.

Confirmation is sent via email and/or WhatsApp. It is the guest's responsibility to ensure that the details in the confirmation — including dates, room type, number of guests, and any add-ons — are correct. Any discrepancies must be reported to us within 24 hours of receiving the confirmation.

Bookings made through third-party platforms (Airbnb, Booking.com, Lekker Slaap) are subject to the cancellation and refund policies of those platforms in addition to these terms.

3. Deposit & Payment

A non-refundable deposit of 50% of the total booking value is required to secure your reservation. The deposit is due at the time of booking. The remaining balance is due in full upon arrival.

Payments are processed securely via PayFast, a South African payment gateway compliant with PCI-DSS standards. Accepted payment methods include credit/debit card, Instant EFT, SnapScan, and Zapper. Card details are never stored on our servers.

All prices are quoted in South African Rand (ZAR) and are inclusive of VAT where applicable. Prices are subject to change without notice until a booking is confirmed and a deposit received.

4. Cancellation & Refund Policy

We understand that plans change. Our cancellation policy is designed to be fair to both guests and the property, given that short-notice cancellations leave little time to re-let the room.

How to cancel: All cancellation requests must be submitted in writing via email to [email protected] or via WhatsApp to +27 79 497 8638. The cancellation date is the date on which written notice is received by us.

Refund processing: Approved refunds are processed within 7–10 business days of the cancellation being confirmed. Refunds are returned to the original payment method used at the time of booking. PayFast transaction fees are non-refundable and will be deducted from any refund amount.

Date changes: Requests to change booking dates are treated as a cancellation of the original booking and a new booking, subject to availability and the cancellation policy above.

Force majeure: In the event of extraordinary circumstances beyond the guest's reasonable control (e.g., declared national disaster, death in the immediate family), we will consider requests for credit or rescheduling on a case-by-case basis. Supporting documentation may be required.

5. Check-In / Check-Out

Standard check-in time is 14:00 and check-out is by 10:00. Early check-in or late check-out may be arranged subject to availability and may incur an additional charge. Please contact us in advance to request this.

Guests are required to present a valid form of identification (South African ID or passport) at check-in. We reserve the right to refuse entry to guests who cannot provide valid identification.

6. Guest Conduct & Property Rules

Gallo Vista is a peaceful, adults-preferred property. We ask all guests to be respectful of other guests and the surrounding neighbourhood. Quiet hours are observed between 22:00 and 07:00.

  • Smoking is not permitted inside any rooms or covered areas. Designated outdoor smoking areas are available.
  • Pets are not permitted on the property unless explicitly agreed in writing prior to arrival.
  • Guests are responsible for any damage caused to the property, furnishings, or equipment during their stay. Costs of repair or replacement will be charged to the guest.
  • The maximum occupancy per room is as stated at the time of booking. Unregistered guests are not permitted to stay overnight.
  • We reserve the right to ask guests to vacate the property without refund if their conduct is deemed disruptive, unsafe, or in violation of these rules.

7. Limitation of Liability

Gallo Vista B&B shall not be liable for any loss, damage, injury, or inconvenience suffered by guests or their property during their stay, except where such loss or damage is caused by our gross negligence or wilful misconduct.

Guests are advised to ensure they have adequate travel and personal effects insurance for the duration of their stay. We accept no liability for theft of or damage to vehicles parked on the property.

8. Privacy & Data

We collect personal information (name, contact details, payment reference) solely for the purpose of processing and managing your reservation, and to communicate with you regarding your stay. We do not sell or share your personal information with third parties, except as required by law or as necessary to process your payment via PayFast.

By making a booking you consent to us retaining your contact details for the purpose of sending post-stay communications (such as a review request or future promotions). You may opt out of marketing communications at any time by contacting us directly.

9. PayFast Payment Processing

Online payments on this website are processed by PayFast (Pty) Ltd, a registered South African payment service provider. PayFast is PCI-DSS Level 1 compliant. When you are redirected to PayFast to complete your payment, you are subject to PayFast's own Terms and Conditions and Privacy Policy.

Gallo Vista does not store, process, or have access to your card details. All payment data is handled exclusively by PayFast on their secure servers. In the event of a payment dispute, please contact us directly at [email protected] and we will liaise with PayFast on your behalf.

10. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising from these terms or from a booking shall be subject to the exclusive jurisdiction of the courts of KwaZulu-Natal, South Africa.
